SNSA PEOPLE & CONDUCT POLICY
SNSA is committed to creating a welcoming, safe, respectful, and inclusive environment for everyone involved in skateboarding activities, including participants, parents, coaches, volunteers, and visitors.
1. Respect & Behaviour
All participants, parents, guardians, coaches, volunteers, and spectators are expected to:
• Treat others with respect and consideration
• Avoid behaviour that intimidates, bullies, harasses, or discriminates against others
• Follow instructions given by coaches or staff
• Help create a positive and supportive environment
Aggressive, abusive, threatening, or inappropriate behaviour may result in participation being refused or terminated.
2. Equality & Inclusion
SNSA aims to provide opportunities for people of all backgrounds, abilities, genders, and experience levels.
Discrimination based upon age, disability, race, sex, gender identity, religion, sexual orientation, or any protected characteristic will not be tolerated.
Reasonable adjustments will be considered wherever practical to support participation.
3. Safeguarding
The welfare and safety of children and vulnerable individuals is a priority.
Coaches, volunteers, parents, and participants are expected to:
• Promote safe behaviour
• Report concerns where appropriate
• Maintain appropriate boundaries
• Avoid behaviour that could place participants at risk
Parents or guardians remain responsible for children outside of session times unless otherwise agreed.
4. Coaching Standards
Coaches and volunteers representing SNSA should:
• Act professionally and respectfully
• Provide instruction appropriate to ability levels
• Prioritise safety over progression
• Avoid inappropriate language or conduct
• Lead by example
5. Complaints & Concerns
Concerns, complaints, or incidents should be raised with SNSA as soon as possible.
SNSA will aim to address concerns fairly, reasonably, and promptly.
6. Social Media & Online Conduct
Participants, parents, coaches, and volunteers should behave respectfully when interacting online.
Abusive, threatening, discriminatory, or harmful online behaviour connected to SNSA activities may result in removal from participation.
7. Enforcement
SNSA reserves the right to remove, suspend, or refuse participation where behaviour creates safety concerns or negatively impacts others.
These measures are intended to protect participants, coaches, volunteers, and the wider community.
Privacy & Data Protection Policy
SNSA PRIVACY & DATA PROTECTION POLICY
SNSA is committed to protecting personal information and handling data responsibly, fairly, securely, and only where reasonably necessary to provide coaching services.
1. Information We Collect
SNSA may collect personal information including:
• Participant names
• Parent or guardian details
• Contact information including telephone numbers and email addresses
• Emergency contact information
• Relevant medical information necessary for safe participation
• Booking and payment information
• Photographs or videos where applicable
Only information reasonably necessary to provide services will be collected.
2. How Information Is Used
Personal information may be used to:
• Manage bookings and coaching sessions
• Communicate with participants or parents/guardians
• Maintain emergency contact information
• Support participant safety and safeguarding
• Process payments where applicable
• Meet legal, insurance, or safeguarding obligations
3. Information Sharing
SNSA does not sell personal information.
Information may only be shared where reasonably necessary for:
• Safeguarding concerns
• Medical emergencies
• Insurance requirements
• Legal obligations
• Venue or operational requirements where necessary
4. Storage, Retention & Security
SNSA takes reasonable steps to store personal information securely and prevent unauthorised access, loss, misuse, or disclosure.
Where information is stored physically, documents will be kept securely and access limited where reasonably possible.
Personal information will only be retained for as long as reasonably necessary for operational, legal, insurance, safeguarding, or safety purposes.
As a general guide:
• Registration forms may be retained for up to 12 months after participation ends
• Accident, incident, or safeguarding records may be retained for longer where appropriate
• Payment records may be retained where required for financial or legal purposes
• Medical information will generally only be retained while actively required for participation or record keeping
Information that is no longer required will be securely destroyed.
5. Your Rights
Participants, parents, or guardians may request:
• Access to personal information held by SNSA
• Correction of inaccurate information
• Removal of information where appropriate and legally permitted

Statement of Commitment
SNSA (Skateboard Norfolk Skateboard Academy) is committed to providing a safe, positive and inclusive environment for all participants. The welfare of children and young people is our highest priority, and all reasonable steps will be taken to protect participants from harm while attending SNSA activities.
Purpose
This policy outlines SNSA’s commitment to safeguarding children, young people, and vulnerable adults participating in coaching sessions, events, and activities.
Responsibilities
SNSA coaches and volunteers will:
● Treat all participants with respect and dignity.
● Provide a safe and supportive learning environment.
● Promote the wellbeing of all participants.
● Act appropriately and professionally at all times.
● Report any safeguarding concerns to the appropriate authorities where necessary.
● Follow all relevant safeguarding guidance and legislation.
Supervision
Parents or guardians remain responsible for their children before and after coaching sessions.
For participants under the age of 18:
● Parents or guardians should ensure children arrive safely at sessions.
● Children should be collected promptly at the end of sessions.
● Coaches will only supervise participants during the advertised session times.
Appropriate Conduct
SNSA expects all participants, parents, guardians, coaches and volunteers to:
● Treat others with respect.
● Avoid bullying, harassment, discrimination, or abusive behaviour.
● Follow reasonable instructions from coaches.
● Respect facilities, equipment, and other users of the skatepark.
Any behaviour that places others at risk may result in removal from a session.
Communication
Communication regarding bookings, coaching sessions, and events will normally take place through parents or guardians where participants are under 18 years of age.
SNSA will not engage in inappropriate private communication with children or young people.
Photography and Video
Photographs and videos may occasionally be taken during coaching sessions for promotional purposes.
Permission will always be sought from parents or guardians before identifiable images of children are used in marketing materials, social media, or on the SNSA website.
Parents who do not wish their child to be photographed should notify SNSA in advance.
Reporting Concerns
Any concerns regarding the welfare, safety, or wellbeing of a participant should be reported to SNSA as soon as possible.
Where there is concern that a child or vulnerable person may be at risk of harm, SNSA reserves the right to contact the appropriate safeguarding agencies or emergency services.
Health and Safety
Participants are expected to use appropriate skateboarding equipment and follow safety instructions provided by coaches.
The use of helmets and protective equipment is strongly encouraged and may be required during certain activities.
Policy Review
This policy will be reviewed periodically and updated as necessary to ensure it remains effective and compliant with current safeguarding requirements.
